Please read these terms and conditions carefully before using our services or participating in our guided hiking tours.
1. Agreement to Terms
By accessing and using the services provided by Yarra Trails Co., you accept and agree to be bound by the terms and provision of this agreement. These Terms of Service govern your use of our website, booking system, and participation in our guided hiking tours and outdoor adventures.
If you do not agree to abide by the above, please do not use this service or participate in our tours. We reserve the right to modify these terms at any time, and such modifications will be effective immediately upon posting on our website.
2. Tour Booking and Payment
All tour bookings must be made through our official website or by contacting our team directly. Payment is required at the time of booking to secure your spot on the tour. We accept various payment methods including credit cards, debit cards, and bank transfers.
Booking confirmations will be sent via email within 24 hours of payment receipt. Please ensure your contact information is accurate and up-to-date. Group bookings of 8 or more participants may be eligible for special rates - please contact us for details.
3. Cancellation and Refund Policy
Cancellations made more than 7 days prior to the tour date will receive a full refund minus a 10% administrative fee. Cancellations made between 3-7 days before the tour will receive a 50% refund. Cancellations made within 72 hours of the tour date are non-refundable.
In case of tour cancellation due to severe weather conditions or safety concerns, we will offer a full refund or the option to reschedule to an alternative date. We reserve the right to cancel tours due to insufficient bookings with a minimum of 48 hours notice.
4. Safety Requirements and Participant Responsibilities
All participants must be in reasonable physical condition suitable for hiking activities. Medical conditions that may affect your ability to participate safely must be disclosed at the time of booking. Participants with serious health conditions should consult their physician before joining our tours.
You are required to follow all safety instructions provided by our guides, wear appropriate hiking footwear and clothing, and carry personal items as recommended in our pre-tour communications. Failure to comply with safety guidelines may result in removal from the tour without refund.
5. Age Requirements and Supervision
Participants must be at least 12 years old to join our standard hiking tours. Children under 18 must be accompanied by a parent or legal guardian who accepts full responsibility for their safety and conduct during the tour.
For specialized family tours with younger children, please contact us directly to discuss age-appropriate options and additional safety measures. Adult supervision ratios apply to all group bookings involving minors.
6. Liability and Risk Acknowledgment
Hiking and outdoor activities involve inherent risks including but not limited to falls, injuries from uneven terrain, wildlife encounters, and changing weather conditions. By participating in our tours, you acknowledge these risks and agree to participate at your own risk.
Yarra Trails Co. maintains comprehensive insurance coverage, but participants are strongly encouraged to have their own travel and health insurance. We are not liable for personal property damage, loss, or theft during tours.
7. Environmental Responsibility
All participants must adhere to Leave No Trace principles and respect the natural environment. This includes properly disposing of waste, staying on designated trails, not disturbing wildlife, and following all park regulations and guidelines.
Any participant found damaging the environment or violating conservation rules may be removed from the tour immediately without refund and may be banned from future tours.
8. Photography and Media Release
By participating in our tours, you consent to the use of photographs and videos taken during the activity for promotional purposes by Yarra Trails Co. If you prefer not to be photographed, please inform your guide at the beginning of the tour.
Professional photographers may occasionally join tours to capture content for marketing materials. Participation in photo opportunities is voluntary, and you may opt out at any time.
9. Code of Conduct
All participants are expected to conduct themselves respectfully toward other participants, guides, and the environment. Disruptive behavior, harassment, or actions that compromise the safety or enjoyment of others will not be tolerated.
The consumption of alcohol or illegal substances before or during tours is strictly prohibited. Participants under the influence may be refused service or removed from tours without refund.
10. Force Majeure
Yarra Trails Co. shall not be liable for any failure or delay in performance under this agreement which is due to fire, casualty, flood, earthquake, pandemic, governmental action, war, terrorism, or other causes beyond our reasonable control.
In such circumstances, we will work with affected customers to reschedule tours or provide alternative arrangements when possible.
11. Privacy and Data Protection
Your privacy is important to us. Personal information collected during the booking process is used solely for tour administration and communication purposes. We do not sell or share your information with third parties except as necessary to provide our services.
